Adding someone
Click the + button at the top and choose New contact. A form opens where you can fill in what you’ve got. Only two things are required, marked with a *:- First name and Phone number are the two you must fill in. The phone number field has a country flag so you can pick the right country code.
- Everything else is optional:
- Last name, Company, and Role (their job title)
- A Picture (click the camera to upload one)
- More than one phone number: click + add another number
- Email, and + add another email for a second one
- Website
- Under Share with, choose who else can see this contact, or leave it to keep it to yourself. See Sharing contacts.
- Click Add Contact.
Editing someone
Open a contact and their details appear on the right. To change anything, double-click the field you want to update and type. It saves the moment you click away, so there’s no separate “edit” button to hunt for. Pressing Enter saves too. You can edit their name, phone numbers, company, role, emails, website, and location this way. Hover over any field and a copy icon appears, so you can grab a number or email in one click. For a full postal address, hover over the location and click the arrow to expand every line (address, city, county or state, postcode, country). From a contact’s details you can Call, Message, or Email them with a single click, without copying the number anywhere. The email button only lights up once the contact has an email saved. If you have more than one inbox, messaging from the Contacts page asks which inbox to send from first.Finding contacts
When your list gets long, there are two ways to narrow it down:- Type a name or number into the search box at the top.
- Use the filter buttons to narrow by:
- Owner: who added the contact
- Inbox: which of your numbers a contact is shared with
- Company: has its own search box for long lists
- Source: how the contact got in, either HubSpot, CSV import, or Added manually
Selecting several at once
Tick the checkbox on a contact, or use the checkbox at the top of the list to select everyone shown. A purple bar appears at the bottom letting you:- Create list from the selected contacts
- Manage access to share them all at once (this only shows when you own every contact selected)
- Delete them, from the ⋯ menu
Organising with lists
A list is a saved group of contacts, mostly used to send a broadcast to everyone in it at once. Switch to the Lists tab to see the ones you have, search them, or click the + to build a new one. There are two ways to make a list:- Select some contacts on the Contacts tab and click Create list in the bottom bar, then give it a name.
- On the Lists tab, click + to open Create New List. Name it, then either pick contacts (with the same Inbox, Company, and Owner filters and a search box) or switch to Upload CSV to bring people in from a spreadsheet. You can set who to Share list with here too.
Deleting
To remove one contact, open them, click the ⋯, and choose Delete contact. To clear out several at once, select them and use Delete from the bottom bar. Either way Dialbird asks you to type a confirmation phrase and tick a box first, because deleting a contact is permanent and removes it for everyone in your workspace.To wipe the whole address book, an owner or admin can go to Settings, then Contacts, and use Delete all contacts. That one asks you to type a longer confirmation phrase, because it removes every contact in the workspace, including ones other people added.
